Office Administrator and Executive Assistant (M/F)

  • Live company's Values: People, Quality, Service and Innovation;

  • Arrange travel and accommodations for executives;

  • Prepare comprehensive reports and presentations with statistical data on expenses, sales and office budgets;

  • Compile basic accounting for multiple companies within the group; interface with external accountants internationally for a timely coordination and control of all the accounting activities and statutory obligations;

  • Maintain a filing system for important and confidential company documents;

  • Maintain diary, arrange meetings and appointments and provide reminders;

  • Ad-hoc assignments, as required by executive.

Aptidões necessárias
  • Min of bachelor's degree in business administration, accounting or related field;

  • Proven experience of at least 3 years as an executive administrative assistant, accountant or in other secretarial position, ideally in an international environment;

  • Comfortable in a fast paced, multi-tasking/ dynamic environment, with great variety in assignments.

  • Strong aptitude for numbers; excellent analytical organization skills, with a proactive and problem-solving attitude for new assignments;

  • Be a team player with a positive and proactive attitude;

  • Resolve issues independently;

  • Good understanding of accounting and financial reporting principles and practices would be a big plus;

  • Attention to detail and high level of discretion;

  • Excellent verbal and written skills in English and Portuguese are essential. Proficiency in other languages (i.e. Spanish, French or German) will be a plus;

  • Demonstrate exceptional communication across all contact channels, including email and phone;

  • Strong aptitude and excellent skills navigating across multiple systems and applications, including desktop and web-based applications such as Word, Excel and PowerPoint;

  • Ability to work a flexible support schedule to enable swift interaction with team members across different time zones and executive's demanding work schedule.
